Today we're going to talk about digital transformation a term that you've heard all over the place. And it can mean different things to different people. It's also referred to as IT modernization coming into the 21st century redoing your IT organization and infrastructure, overhauling your systems. So IT transformation. Digital transformation really means how do you operate your business, your organization in a way that really embraces technology, uses the automations, uses the robotics these days, artificial intelligence, customer facing, better transparency, better budgeting. How do you use all of these systems to make you more secure and your organization a lot more efficient as you go through your day-to-day processes of providing value to your customers, which in our case are your citizens and the people that rely on your services like utilities bus services, transportation, airports, governments, you name it. And in our experience, a lot of times government agencies tend to be behind the times by design or not in terms of technology.

Why You NEED an ERP Project Manager (Pros & Cons)

Do you really need an E R P project manager? In this video, I'm going to explain to you why you do and what are the pros and cons of not having a project manager on your E R P implementation project. Let's think about it this way. Can you cut your own hair? Yeah, you can, but do you? No. Could I take out my own appendix? Yes, I could, but should I? No. And I don't. It's something like that, right? A project manager is a position that is just that if he or she is responsible for managing the project, especially a project as large as an E R P implementation or a modernization or an upgrade, is you can't let that just fly on its own and know you, Mr. CFO or IT director. This isn't something you should be doing in addition to your day jobs, right?

The 3 Steps to Successful Government ERP Modernization

Are you feeling overwhelmed with where to start with your E R P implementation or modernization process? In this video, I'm going to tell you where to begin. My name is Ajith Kar, and I'm a consultant that has helped many government agencies across the United States modernize their E R P systems or get them to a spot where their existing system does better work for them. The first thing you need to do is curb your enthusiasm. Don't just go buy something because there was a slick salesman. The demo was great. You met someone at a conference. It's easy to just say, I'm going to buy something I saw that was cool. And then what you'll end up with is a big mess on your hands when that thing you saw that was school at a conference didn't quite do the job. So holy horses don't buy a system just yet.

In this video, we're going to talk about how do you budget for this very expensive E R P implementation that you're planning, how to time the purchase, how to budget for it, and how to source the funds so that you have the money available when you need it to be. E R P systems and implementations for governments tend to be a very expensive endeavor. Sometimes it's a once in a career, once in a lifetime opportunity in a project for a finance director or an HR director or an IT director. When it comes time for budgeting for a new eerp system or modernizing your existing one, how do you know where to start? How do you know how much funds to look for? How do you know how to time it? You can look into a crystal ball cuz really sometimes that's all it takes cuz you don't know if you don't know.

ERP Project Roles and Decision Makers (Who Does What?)

In this video, we're going to talk about who's involved in an E R P implementation. In a previous video, we talked about the different roles involved in an e p implementation, but today I want to talk specifically about who gets to make the decisions and at what levels are they made, like we talked about earlier, you've got the sponsor, you have a project manager, you have functional leads, and you have an overall project manager either on your side as an internal city employee or a consultant. The project team on the vendor's side will have their own team. They'll have a project manager, they'll have functional leads. They'll, they'll have what's called implementation consultants in some cases, but who on your side makes the decisions and decisions come in many different flavors, right? You have the small decisions being who gets to process invoices, who gets to process purchase orders, what in what sequence does the requisition turn into a purchase order?

What is a Requirements Definition? (ERP Best Practices)

So what is a requirements definition? In this video, I'm going to talk about what exactly it is, what goes into it, how do you do it, and how important it is in your E R P implementation. A requirements definition is just a comprehensive list of your requirements. It's as simple as that, but how do you find those requirements? I've seen clients have a 15 line e r p requirements definition, and that's not good enough. I've also seen clients with 3000 line items on every functional area that might be overkill. We have to find the sweet spot between how well your requirements are documented so that the vendors can then respond to your requirements in an efficient way and help you find the right product for your practice. So how do you do a requirements definition? It can be as simple as documenting your requirements on an Excel sheet, but you have to be really careful here.

Phases of the ERP Implementation Process

So now that you've selected the vendor, have negotiated a great contract, you've signed the deal, what do you do next? There will be a phase here or a time frame where the vendor says, okay, we need to hand this off from the sales team to the project management team and hang tight will send you all the details. So this is a great time for your team internally at the city or county or your agency to organize yourself, pick the right vendor for project management, assign the right project sponsors, and get your team excited about this really difficult process that you're about to take on. That'll last anywhere between 12 months to 24 months, depending your size and what kind of modules you're implementing. So first thing to do is get organized, and what I mean by that is get your team in place.

The Smart City Revolution

Smart City — It’s a term that gets tossed about a lot these days, particularly in the realm of municipal governments. It’s something that many leaders are striving toward, but in all of the discussions, all of the articles, and podcasts, there doesn’t seem to be a unified idea about what it takes to make a city “smart.” What, exactly, are leaders meant to be striving toward? How will citizens know when their own city achieves it? By and large, the concept is so vague that it has become almost meaningless.

3 Pillars of an IT Strategic Plan

The role of government in our society has traditionally been one of facilitation, collective expenditure, law and order, and generally looking after the well-being of its residents, businesses, and employees.
